This Guide will show you how to set the access control for your system for Members and Membership Types when using the Check In system.

Access Control

Go to Administration

Click on Client Settings

Then select Access Control

Access Control Membership Rules

In this area you can set the Rules for allowing those with Membership access. You can choose either Allow Entry or Deny Entry.

Expired - If the Membership contract has Expired do you allow them access?

Cancelled - If the clients Membership has been Cancelled do you allow them access?

Suspended - If you have Suspended a clients Membership do you allow them access?

Frozen - If their Membership has been Frozen do you allow them access?

Depleted -If a Membership is set with a number of visits for Check in and a member goes over that number do you allow access?

Past Due - If a client with a membership has an Invoice overdue for Payment do you allow access and how many days overdue can they be if you deny entry?

Max Visits - If a membership has a number of visits in the contract do you allow more than Multiple entry per day or Deny Entry if more than 1 visit per day?

Time of Day Access

You can also set Time of Day Access depending on certain Membership types.

Click on Configure Schedules

To create a time of day access schedule. Type in your Schedules Name. Add your range of access.

If you have a membership that is allowed access Monday to Friday 9 am to 5 pm you would enter each day with those times by clicking on the +Add Range button.

 

Once you have all parts of your ranges created you can Create a Schedule.

The schedule will appear in the Current Schedules area above Create A Schedule.

To then map the Schedule to a membership scroll down to the Membership Type Mappings.

Then tick the Membership type you are mapping

Change the drop down next to the selected Membership Type to the Schedule name you have created.

Click on the Apply Selected Mapping button.

Once finished click on the Return To Access Control Page.

Location Mappings

If you have more than one location connected together allowing clients to be shared you can set up which Memberships Types can be used at which location.

To set the Location Mapping, Click on the cog icon next to a Membership Type.

You can then select the locations you want the Membership Type to be mapped to.

Click on Save Mappings once you have chosen the Locations and then click on the Return To Access Control Settings Page.

Apply To Check-Ins

By enabling this option, a client's access status (including the above rules if the client is set to "rules-based") will be evaluated when they check-in using the check-in window. If a client is denied access their membership will not deduct a visit and the check-in window will alert you that the client is denied. This option will not effect any actual access control devices that your facility may use.

Default Access Mode

The default that is set here will apply to all new clients when added to the system going forward. For existing clients you will need to change the access mode settings on the profile.

Any changes to this page make sure you Save before leaving.
