In-depth
The full details
Everything below goes a level deeper — how each part of Rental Plans works for admins, front desk staff and your clients, plus a few things worth knowing before you launch.
For facility admins
Set up your Rental Plans
A new Rental Plans page in Admin is where you create and manage every plan you offer.
- Tie each plan to a rental type. A 10-Hour Pickleball Court Plan can only be used for pickleball court rentals, keeping balances clear and accurate.
- Choose how plans are measured. Sell plans by hours (deducted by rental length) or by occurrences (one per booking, regardless of length).
- Price it your way. Set a flat price for the whole plan or a per-hour / per-occurrence price, with separate member and non-member pricing.
- Set an expiration. Plans can last indefinitely or expire after a set number of days, weeks, months or years.
- Offer auto-renew. Turn on automatic renewal for any plan so clients never run out.
- Stay organized. Active and Archived tabs, search, and drag-and-drop ordering control how plans appear to staff and clients.
- Edit with confidence. Changes to a plan apply to new sales only — clients who already purchased keep the terms they bought.
The new Rental Plans page in Admin. Create and sell plans from the top right, and see each plan's rental type, purchase model, pricing and expiration at a glance.
For front desk staff
Sell plans and manage balances
Everything you need is on the client's profile.
- New Rental Plans tab on the client profile. See each plan's purchased, booked and remaining balance, status, dates, and billed and paid amounts. Filter by Active, Completed or All.
- Sell in one step. Use Sell Rental Plan from the client profile to pick a plan, review, and take payment in a single guided flow.
- Manage plans from the grid. View details, edit, collect an outstanding payment, change status or remove a plan without leaving the profile.
- Share with family. Let linked family members book against a primary account holder's plan.
- Full history. Purchases, status changes, renewals and balance changes are recorded so you can answer client questions quickly.
On the Schedule
Book rentals — the balance takes care of itself
When you book a rental for a client with an eligible plan, their balance updates the moment the booking is made.
Automatic deductionHour plans deduct the exact rental length (a 1.5-hour booking uses 1.5 hours). Occurrence plans deduct one per booking. Extending or shortening a rental adjusts the balance automatically. |
Cancel or delete? It's returned.Cancelling or deleting a plan-paid rental always restores the hours or occurrences to the plan, and the client gets an email letting them know. |
Use the plan or pay the rateClients who prefer to keep their balance can pay the standard rental rate for a booking instead. |
Clear low-balance alertsIf a plan can't cover a booking, you'll see the current balance, what's needed and the shortfall — plus the options to move forward. |
Shared family plansLinked family members can book against a shared plan. If they also have their own plan, you choose which one to use. |
Auto-renew that keeps clients informedOpted-in plans renew when the balance runs out or the plan expires, using the saved payment method. Clients get a heads-up email beforehand with a one-click link to cancel auto-renew, plus a confirmation afterward. |

For your clients
Rental Plans in Self Service
Your clients can handle it all online, any time.
- Browse and buy. Anyone can browse your plans; signing in is required to purchase. Member-priced plans appear only to clients with an active membership.
- Buy for family. Clients can purchase a plan for themselves or for a linked family member.
- Ready right away. New plans are active immediately, and clients receive an on-screen confirmation and an emailed receipt.
- My Plans. Clients see each plan's remaining balance, purchase date, expiration and status — Active, Expired or Exhausted — always up to date.
- Book with a plan. When booking a rental, clients choose to use an eligible plan or pay the rental rate. The balance is deducted when the booking is confirmed.
- No dead ends. If the balance isn't enough, clients can purchase more plan credit or contact your facility.
Booking in Self Service: clients choose a plan from Payment Options and can see exactly how much time each plan has left, or pay the rental rate instead.
Before you launch
Good to know
- One payment method per booking. A booking is paid entirely by a plan or entirely at the rental rate — not split between them.
- Plans are rental-type specific. A plan can only be used for the rental type it was created for.
- Shared plans are booked by staff. In Self Service, clients book using plans on their own account.
- Refunds work as they do today. Staff refund a plan purchase from the client's Billing tab. Clients can't cancel or request refunds for plans through Self Service.
- Where it's available. Rental Plans are available in EZUI and Self Service. They aren't available in Classic, the MiGym app or POS.
- Plan edits don't change past sales. Updating a plan's price or terms only affects plans sold after the change.
Get started in three steps
1 Create a plan — Go to Admin › Rental Plans and add your first plan.
2 Sell it — Open a client profile and choose Sell Rental Plan.
3 Book it — Book a rental on the Schedule and watch the balance update.
