Managing Self-Service Shared Bookings in EZFacility Classic

This guide will demonstrate three methods that can be used to allow multiple related clients to share a booking. This type of booking is different from a group session with multiple registrants.

Examples of Shared Bookings

1. Couple sessions such as massage or tennis

2. Group Activities where multiple members of a single party book an event, such as   tennis doubles or a group booking a lane in a gun club.

3. Coaches booking a team activity. (This is different from a rental as each participant should be booked into the activity, but payment is made by the coach)

4. A trainer inviting one or more participants to attend a session.

Multi-Client Booking - Combined Cost

In this example, two people plan to book a session together. Using this method requires that the total number of allowed participants be set to 1 and the cost of the session covers the cost for both participants. Setting the package to automatically share with a spouse will allow either couple to book into the session. The package can also be shared after the sale of the package.

*** Trainer Tip - Because the cost of the session is for two people, only one session needs to be subtracted.

Set the Self-Service settings with the matching allowed package type.

***Trainer Tip: Use the Reservation Type's Self-Service settings (the wrench icon) Online Description section to provide booking and payment details for the user.

 

The description will be visible when a client selects the session on self-service.

 

The user would be prompted to purchase the correct package to complete the booking.

Once the client selects the BUY button, the payment can be completed and the client is automatically booked into the desired session. The client will be taken to their own schedule page (My Schedule) to see the session added to the calendar.

Shared Booking - Using the Direct URL

The direct URL can be used for multi-person sessions for large or small groups. The direct URL allows booking via invite, but the event remains private on the Self-Service Portal. For the event to remain private, you must create a reservation type that is set to Do Not List, most likely bypassing the default Self-Service settings.

Once the session is added to the calendar, the client can be directly invited to complete the booking.

 

The Self-Service settings for this event type must be set to Do Not List. This prevents others from booking into the session.

Uncheck Use Location Default and select Do Not List.

 

Send the direct session link to the client who will be prompted to pay for the session. The link can be sent to multiple clients for a group event.

The client will be able to complete the booking. This session will only be visible to the person or people,  who are sent the direct link.

***Trainer Tip - The direct URL can also be used for sessions that are set to allow booking.

Shared Booking - Team Bookings

In this example, the coach is setting up a team practice or event. The package used to book might be free because it is part of a team membership or the cost of the package would cover the cost of the entire team. The package would be set to automatically share with the players, so the Relationship must be set prior to the sale of the package. Sharing the package with the allows the players to book into specific practices or events, with no additional cost to the players.

If players are added and the Relationships are set, the package will automatically be shared with all team players, allowing them to book online using the shared package.
