This guide will show you how to remove the freeze for a Membership Contract.
Selecting a Client
Search for the frozen client and click on name
Edit Contract
1. Click on the Membership tab.
2. From the View drop-down select Frozen.
3. Once the frozen contract appears click on Edit.
Removing a Freeze from a Membership
- Click on the remove Link under the End column
- Click on YES, remove the end date of the freeze button
1. Click on the remove link under the Start Column
2. Add any additional Remarks.
3. Click on YES, remove the end date of the freeze button
*** The invoices that automatically generated at the time the contract was sold, will no longer be available. Auto-Pay and Auto-Renewal are disabled at the time of the freeze. To correct this at the time the membership is no longer frozen it is essential that you invoice the remaining time on the membership plan.
Invoicing the Remaining Time From the Items Tab or the Shopping Cart
The remaining time on the membership plan will remain as un-invoiced within the Items tab under the Billing tab or within the Shopping Cart. Both options will allow you to generate the invoices to correctly bill the customer. Simply check the box for each billing period to generate a new invoice. You can generate multiple new invoices or add all billing periods to one invoice with the incremental billing being due on their new billing dates.
Creating Billing from the Items Tab (Single or Multiple invoices)
Click on the Billing tab
Click on Items tab
To add all billing items to one Invoice:
- Click on the checkbox in the header to check all items.
- Click on the Invoice Checked items button.
To create multiple invoices:
3. Click on the Create link to generate an invoice for that specific item. This will need to be done for each line item to create multiple invoices.
Creating Billing from the Shopping Cart
Click on the handbasket icon titled "MY" if nothing appears click on the "ALL" icon.
*** Nothing may appear since the "MY" icon displays un-invoiced items that were done by the user that initially started the freeze process.
To add all billing items to one Invoice:
- Click on every checkbox for all items for the client.
- Click on the New Invoice button.
- Once the invoice is created you will have to create the payment schedule.
*** If the payment schedule is not created client will have a lump sum due on the earliest date of one of the line items. To avoid this step use the single invoice method discussed earlier in this article.
Click on the handbasket icon titled "MY" if nothing appears click on the "ALL" icon.
*** Nothing may appear since the "MY" icon displays un-invoiced items that were done by the user that initially started the freeze process.
To create multiple invoices:
- Click on a checkbox to generate an invoice for that specific item. Do not select more than one.
- Click on the New Invoice button.
*** The steps above will need to be repeated for each line item to create multiple invoices.
