This guide will demonstrate how to create a sessions on your schedule. This can be one-off bookings or recurring.

*Screens and layouts may vary depending on the user settings and device compatibility.

Creating the Event

Select Schedule from the menu.

On your EZFacility schedule, select the time and resource where you would like your session to begin.

Select Session under Reservation Type

Select your Reservation Type

If you have pre-set the session/class length you will see an Alert box appear. This box is just letting you know it is pulling through those settings.

Press Ok

The following areas will be updated depending on your setting for the Reservation type.

End Time

Class Size

Title

Public Title

If this is a one off booking then you can select Save and Finish or Save and Add Client(s). Selecting Save and Finish will close the side panel and add the sessions to your schedule. Selecting Save and Add Client(s) will allow you to register a client to the recently created sessions.

Recurring Patterns

If the Session is going to recur Select 2.(Optional) Select the recurring pattern.

Select the Pattern. The Weekly pattern enables you to  select specific days that the event will repeat, such as a Monday, Wednesday and Friday session. In most cases, Weekly, will be the best option to create the schedule you are looking for.

The choices the user is given are Single Entry, Daily, Weekly, Bi-Weekly, Monthly, Yearly and Of the Month.

Single Entry  Just for this one day, if you are just putting one lesson/training in there is no reason to come to the recurring section.

Daily  Will put the lesson/training you are scheduling in every day until the end date is reached.

Weekly  Will put the lesson/training on the days of your choice for every week until the end date is reached. (This is the most commonly used option)

Bi-Weekly  Will put the lesson/training  on the days of your choice but will only schedule them every other week  until the end date is reached.

Monthly  Will put the lesson/training on the date chosen every month until the end date has been reached. If you have chosen the 5th of a month the reservation will only appear on the 5th of all the following months that have been chosen.

Yearly  Will put the lesson/training on the date you have chosen every year until the end date has been reached.

Of The Month  This option will put the  lesson/training on that day every month until the end date is reached.  The difference here is that this will put the lesson training on every 4th Thursday of the month, not on a certain numerical date.

 

Now that the pattern has been established the user must also choose  any additional days of the week that this class should appear on, this is done by going to the field marked On These Days. In the example below the days, Monday, Wednesday and Friday will be added to this recurring pattern.

  1. Ignore this section. This is NOT where you will want to update the duration of the recurring session.
  2. On These Days: If you are using the Weekly option, choose the days of the week the session will take place.
  3. Range: You can set the range of this recurring session by a total number of sessions or to end on a certain date..
  4. Add New Occurrences: Select the 'Add New Occurrence(s)' button to review all of the sessions that will be apart of your linked reservations.

Upon reviewing the recurring sessions, If nothing is booked in the slot already then the booking will show in Green. If there is already a booking it will show in Orange

You can manually update or delete a specific session if needed. To do so, select the checkbox on the left side of the page, and choose Modify Checked or Delete Checked. If it is a booking in Orange you can also select Resolve Conflict.

To add the recurring sessions to your schedule, you can select either Save and Finish or Save and Add Client(s). Selecting Save and Finish will close the side panel and add the sessions to your schedule. Selecting Save and Add Client(s) will allow you to register a client to the recently created sessions.
