Setting Up Reservation Types - Main Page

Reservation Types are located within the Packages tab in Administration. Its purpose is to set up the classes or programs you wish to schedule for clients to be able to book into. Once you click on Reservation Types, click on the '+ Add Reservation Type' button.

Setting Up Reservation Types

1. Reservation Type - The type of class or program you wish to schedule where clients can book into.

2. Can Schedule - Do you want to put this class or program on your schedule?

3. Can Sell - Do you want to sell this class or program as a package or per diem session?

4. Revenue Category - Tying your revenue categories to a class or program that you may be selling. (Check Revenue Categories link)

5. Class Size - What is the maximum capacity of the class you are setting up?

6. Color - Pick a color that represents the class you are setting up so when you look at your schedule, you will know X color represents X class.

7. Res. Category - Ties to your MemberMe Plus application. Depends on whether or not you want this specific class available to be booked into on the application.

8. Session Length - How long is this class or program by hours and minutes.

9. Default Allow Free Bookings - Do you want to make this class available to be booked into for free?

Setting Up Package Plans

Setting up Package Plans is the next step to setting up your classes or programs. This is where you set up what types of packages you have set up accordingly for your facility. Once you get into Package Plans, click on 'Add New Package'.

Setting Up Package Plans (Single)

To start, click on '+Add New Packages'

1. Reservation Type: Choose your reservation type that you have set up in Reservation Types

2. Description: What does your package consist of? For example: Hitting Lessons - 10 Session Package

3. Is Comp Package: - Is this package offered for free?

4. Sessions (Single/Multiple/Unlimited): Single:Selling 1 session to a client. No more, no less. Multiple: Setting up multiple sessions for clients to buy more than one. Unlimited: Unlimited amount of sessions. Could be useless if Memberships include classes to be booked into.

5. Renewal Threshold: Shows a number that you set to renew the specific package

6. Start Date: You can now pick a start date that is fixed or you can set it to the sales date per package

7. Package Length: Setting the length of how long the package should last. Example: 1 week package, 1 month package

8. Booking Out of Range: Are you allowed to book sessions/classes past the package length created above?

9. Auto-renew: Do you want this package to automatically renew into a new package?

10. This package renews as: You can have the package you are creating renew into a different package. For example: offering a free session or free week and then having it renew into a monthly plan

11. Share With: Pick who you would like to share this package with through your relationships you set up through the personal tab.

1. Category: Paid or Comp? Do you want to make this client pay for the package or is it complimentary?

2. Fee: How many X dollars Per Package/Session you are selling?

3. Default Invoice Option: You will have an option to select a specific invoice type to automatically be selected when you sell your package to your client.

4. Auto Pay: Do you want these payments for the package to come out automatically from the clients credit card information and charge them?

5. Sell Online: Is this package available to be sold online?

6. Discount: You can apply a discount for a specific package you create. This can always be altered at the point of sale.

7. Revenue Category: You can tie a revenue category to whichever package you are creating to properly sort your revenue within your revenue report.

8. Additional Description: You can provide your clients with more information regarding this package they have purchased. This will place description on printable invoices for your clients to see.

9. Internal Remarks: Any extra information you need to remind yourself when selling a specific package.

Once you hit 'Next' on Step 2: Billing, you will get to your Summary page where you can analyze your package set up.

Setting Up Package Plans (Recurring)

If you choose to do a 'Recurring' package, select the 'Recurring' package under Package Plans

 

Recurring defined is creating packages for the future. For example, if a client decided they wanted to buy a package plan for 6 months but it is 5 sessions per month, you can create the plan so the invoices and packages for all 6 months are already created.

1. Reservation Type: Choose your reservation type that you have set up in 'Reservation Types'.

2. Description: What does your package consist of? For example: Hitting Lessons - 10 Session Package

3. Is Comp Package: - Is this package offered for free?

4. Sessions (Multiple): Multiple: Setting up multiple sessions for clients to buy more than one. Choose how many sessions they are going to purchase. Either they can by a flat amount or a range. For example, 5 sessions or 1-5

5. Start Date - Putting in a specific date that the sessions would be able to be used.

6. Booking Out of Range: Would you like this package to last longer than the length you set for the package?

7. Share With: Pick who you would like to share this package with through your relationships you set up through the 'Personal' tab.

Setting Up Package Plans (Recurring)

1. Recurring Patter (Daily/Weekly/Monthly/Yearly) - Pick how you want this pattern to recur in the set up for the one individual package.

2. Pick your settings pending on what you chose in Step 1.

3. Auto-renew: Do you want this package to automatically renew after the first package has expired.

4. This package renews as: Do you want the package to renew as the same package you set up? Or a different package? Example, maybe you offer a free week of classes, which then renews into a monthly package.

5. Auto Pay: Do you want these payments for the package to come out automatically from the clients credit card information?

6. Sell Online: Is this package available to be sold online?

Once you have moved passed step 3, you will see your summary. Once you are ready, hit Add Package Plan

Setting Up Package Plans (Unlimited)

Why would you give an unlimited package? Maybe your memberships come with unlimited classes. You need to give your client an unlimited package to book classes through our Self Service site. It could be a free package or maybe you sell an unlimited amount of sessions for a specific price. It all depends on the set up you are looking for.

How To Sell a Package To a Client

-Once you have set up most if not all of your packages you wish to sell, go to the client that wants to buy the package and click on their 'Packages' tab.

-Next, you will have a list of Active Packages or All Packages that have previous been purchased. If you want to sell a new packages, click on the 'New Package' button.

- Once you move onto the next page to sell a client a package, you will have two options: to select a pre-created package (see Setting Up Package Plans if you have not done so) or create a package in that present moment

1. Auto-Pay: This will give you the option to have the payment be drawn out automatically when the package is sold. It also gives the option if the package is recurring, it will automatically draw the money out on the pattern.

2. Info: This will give you information regarding the package you are selling to your client. It will give you information on which waiver is attached to that specific package, if it is available to be sold online and if there is a default invoice option.

1. Client: Who is the client you are selling this to?

2. Package: Which package are you selling to that client you selected?

3. Sold By: Who sold this package to the client? This could effect your trainers or sale representative's commission if you have set that up in Location & Trainer Set Up.

4. Invoice: What type of invoice do you want to give to your client? You have the option of Multiple New Invoices, Single New Invoice or leaving it in the cart and Invoicing Later.

5. Finish & Pay: Do you want to go to the invoice after to make a payment?

6. Finish: Do you want to continue past the invoice page and not charge the client at that present moment?

After the packager is sold, you will see your finished product back in the 'Packages' tab.
